The Broxbourne practice is seeking an administrative assistant and bookkeeper to support the growth and development of the business.
the candidate will be required to provide administrative support to the practice which includes helping to complete the admin side of onboarding clients, chasing clients when work is due and managing records coming into the practice. To also maintain accurate bookkeeping records for all types of businesses. The post holder will be required to work flexibly, in a rapidly developing office environment. It may be necessary to assist other staff from time to time.
Responsibilities
General bookkeeping duties to include
• double entry bookkeeping;
• processing sales invoices;
• receipts and payments
• preparation of statements showing income and expenditure
• completing VAT returns
• preparing wages and processing expenses claims
• helping prepare P&L accounts and balance sheets
• Logging in records received by clients and checking the information is relevant and complete
• assisting clients with cloud bookkeeping software
The administration key duties of the post are:
• Answer all telephone calls and reception enquiries in a timely, courteous and efficient manner and accurately log information on all calls received
• Make and record accurately client appointments
• Arrange meetings, book and prepare meeting rooms and provide/arrange hospitality
• Set up and maintain filing systems as and when required as works progress
• Communicate and liaise verbally and in writing between clients/visitors/enquirers and staff/outsourcers and interpret and respond clearly and effectively to spoken requests over the phone or in person, and to verbal or written instructions
• Help to onboard new clients by preparing relevant forms
• Manage, organise and update relevant data using database applications
• Establish and maintain effective working relationships with co-workers, supervisors, outsourcers and the general public
• Maintain regular consistent and professional attendance, punctuality, personal appearance and adherence to relevant health and safety procedures
• Adhere to procedures relating to the proper use and care of equipment and materials for which the role has responsibility
• Plus other duties consistent with the grade as directed.
Experience
• Minimum three years of bookkeeping experience
• Significant experience of undertaking administrative tasks within an office environment
• Experience within a professional services organisation (accountants, solicitors, estate agents etc) would be a distinct advantage
• Able to produce up to trial balance from client receipts and records
• Administration of office including client calls and file management
• Self-motivated and able to work to tight deadlines
• Experience of Dext, Quickbooks, Xero or TaxCalc is preferential but not essential
• Good IT skills
